Minutes, April 2008

The meeting was called to order by President Donnie Shirey.  Returning visitors James and Sonya Bennett were welcomed.  The minutes were approved.  No Treasurer’s report was given since the Treasurer was not able to make the meeting.

Old Business

Bixby Train Show – With approval of the membership, Vernon Guess borrowed the club’s track to use at the Bixby show.  Volunteers laid four tracks (Thomas and three mainlines) and handed out lots of flyers advertising our annual tour.

Jenks Herb Fest, April 26 – Vernon agreed to haul the ground track to Jenks for the Herb Fest, and he will provide a shade canopy for the volunteers.  Since Joe is at Nationals, Vernon will be in charge of the ground track layout.  Volunteers were reminded of the early morning pancake breakfast at the church.

Okmulgee in Bloom, May 3 -- Bill Reeder volunteered to haul the ground track to Okmulgee.  Set up begins at 8 AM; the show will run from 10AM to 4PM.  The streets around the Council House square will be blocked off.  TGRRC will set up on the southwest corner of the square.  The nearby Café on the Square offers a breakfast special for $2.99.  We have two store-front windows available in which to display our model contest entries.

HO sales – Jim has taken a large selection of Skip’s HO items to both the Bixby show and the NMRA meeting and made over $500 in sales.

Organization of module trailer – Bob Gardine is at Nationals.  We will ask for a progress report next month.

Ground track trailer – No luck yet in finding a small trailer for the ground track.  We will continue to look.

Annual tour, May 31 – Vernon plans to deliver tour books and sign-in sheets to tour hosts by May 16.  Ads in the tour books are the same as last year.  Joe and Vernon are again in charge of PR.  Volunteers are needed to help at each site.  Please try to obtain email addresses of visitors to the sites.

Open House – Bob Gardine will host an Open House on Memorial Weekend (Saturday May 24 and Monday May 26 only; closed on Sunday).  Vernon Guess also hopes to have an Open House on Sat May 24.   If you are a tour host, this is your chance to see other layouts that will be on the tour.

Dues are due – If you have not yet paid dues for 2008, please do so.

Caps and canvas carry bags – Hopefully, we will have TGRRC caps and tote bags available for purchase at the next meeting.

Name badges – We will be placing an order soon for name badges.  If you need a name badge, please contact Nadine.

Website – Our website is still not up and running.  We are waiting for the backup CDs from Sam Kimery.  Our new domain name will be www.tulsagardenrailroadclub.org .   We would like to have our tour flyer available online as soon as possible.

Model contest – We need to set a date for the model contest.  August was suggested.  No decision was made.

New Business

Dewey, June 28 – We have an opportunity to set up on Saturday, June 28 in Dewey (north of Bartlesville).  The Guesses will be there.  Set up will be Saturday morning at the fairgrounds in Dewey.   No decision was made.

Woodward Hobby Shop in OKC – The hobby shop is closing.  They have already sold all their LGB.  They have Aristocraft and a good selection of figures left.
